ello Volunteers! Information for October 4 and 25 2025.
Please take a moment to read this completely, so you are fully informed. It takes a lot of hard work behind the scenes and on site, so please help us by reading these instructions! Thank you so much for volunteering.
NEW INFORMATION ADDED after Sept 29:
First Aid – there is a first aid box in the kitchen and we now have an AED (Automated External Defibrillator) Instructions Here
MAIN LOT – ORANGE LANE – Volunteer Entrance and Check-In will be on the LEFT SIDE GATE, against the clubhouse. Please enter ONLY there. Please do not enter through the middle entrance area, where guests enter. See MAP below. Check in begins 11 am.
We ask that you please notify us if you CANNOT show up for your shift. PLEASE email us: volunteer@orlandogermanclub.com and notify the Manager for your area also (see list below). We rely HEAVILY on our Volunteer Scheduling and anyone who does not arrive when expected causes scheduling problems.
CHECK IN INFORMATION Upon arrival for your shift, you will receive a Volunteer Wristband, Volunteer Nametag Badge, Volunteer Meal/Dessert Coupon for you to redeem. All volunteers must HAND IN YOUR MEAL AND DESSERT TICKET. If you are working in a food/dessert stand, please make sure to follow this rule and place all cards aside for counting.
Please return your plastic nametag holders to the Volunteer check-in desk after your shift is over, unless you are volunteering for both Oktoberfests, then please keep the tag for Oct 25.
IT IS VERY IMPORTANT THAT EVERYONE WEAR THEIR NAMETAG BADGE DURING THIS EVENT. NO EXCEPTIONS PLEASE. This is the only way that security, vendors, guests or hired workers will know they can approach you if they have questions.
FIRST SHIFT INFORMATION If you are on the FIRST SHIFT (Noon-5:00 pm) please arrive by 11:00 am to get organized. Guests show up early – sometimes at 11:30, so we have to be ready. VIP entry starts at 11:45 am. Parking For All Registered Volunteers
will be in the main parking lot. NAMES OF ALL REGISTERED VOLUNTEERS
will be on the parking list. No one else can park in our lot. Close-in
parking is very limited and we need our FIRST SHIFT Volunteers and Festival Vendors to park nearby. PLEASE carpool if you can.
SECOND SHIFT INFORMATION: If you are on the SECOND SHIFT, please arrive on or before 4:00 pm for a smooth transition. Park in Melody Lane lot if you arrive after 2 pm and can’t find parking in the main lot.
PARKING INFORMATION: NOTE: The Club does not provide parking for guests – we just don’t have the space! All paid parking on personal lots in the area is NOT affiliated with the Club in any way.
If you have lederhosen, dirndls, German clothing, beer t-shirt, etc., please wear it!
ANIMALS No animals allowed at the festival except for documented service animals.
VIP Area – This year we have a VIP seating area inside the clubhouse. All VIPs will be able to use their beer/wine coupon ONLY AT THE INSIDE BAR, for ONE pitcher of beer or ONE bottle of wine. They will have VIP coupons for a meal, dessert & pretzel. Anything else, they must purchase separately (including potato pancakes).
COURTESY All staff and volunteers are reminded to be courteous to guests and to other volunteers at all times. A smile goes a long way! There is never an excuse to yell at, be discourteous to, embarrass, or reprimand anyone, especially in front of others. Please be welcoming to all Volunteers and refer to a Manager if there is an issue. If you see someone bullying a volunteer, or treating them disrespectfully, please report it to a Board Member immediately.
FOOD INFORMATION – Due to a lack of sufficient available food volunteers, we have contracted all food to Tasteful Journeys Catering, so we are not in charge of any food for Oktoberfest. Please read the following:
Volunteers receive a meal ticket and dessert ticket and have a Volunteer Name Badge and Volunteer Wristband. The dessert ticket can be used for EITHER one dessert OR one serving of potato pancakes. No food will be distributed to a volunteer without a Volunteer food ticket. Volunteer Staff Area is for Volunteers to eat, get beer, water, and take a short break from your shift. We request that you be courteous to other volunteers and not linger in this area, so others can sit down for a bit. The general public is sitting nearby, so please keep that in mind during your discussions.
